ERA Affiliated Endorsement for Independent Initiatives Originating from ERA Bodies

Regulations

1. ERA will give its support by means of non-financial “ERA Affiliated Endorsement”, to independent initiatives (e.g. events, projects) originating from ERA Bodies (Working Groups and Committees).

2. ERA Affiliated Endorsement requests must be received at least 60 days prior to the initiative date by using the appropriate ERA Affiliated Endorsement Application Form. Applications received after the deadline are unable to be considered for the ERA Affiliated Endorsement process. All applications should be completed in English, and since this is an international initiative originating from ERA Bodies, it will also be conducted in English. A brief introduction in English (maximum of a half page) to the initiative and the scientific programme (even preliminary) is required as part of the ERA Affiliated Endorsement process. ERA Affiliated Endorsement requests are evaluated and granted based on the scientific programme of the initiative that must be scientifically valuable or educationally significant, and it must deal with renal or related topics. Once approved the first time, by the Council, the subsequent editions of the same initiative and related activities are automatically endorsed (provided that the conditions referred to in this document are fulfilled). IMPORTANT: Failure to comply with any of the requirements listed in this document could lead to the removal of this special endorsement and compromise any eventual future ERA affiliated endorsement requests.

3. For recurrent/long-term initiatives, the application is submitted only once, and the organiser/Principal Investigator (PI) is responsible for ensuring that all mandatory conditions for maintaining the ERA Affiliated Endorsement are met in all future editions. The organiser/PI is required to submit the graphics and the scientific programme to the ERA Headquarters for administrative review and publication on the dedicated ERA webpage at least 60 days prior to the initiative.

4. If the ERA Affiliated Endorsement is granted the organiser/PI will be able to use the “ERA Affiliated Endorsed initiative” disclaimer along with ERA logo (supplied by the ERA HQ): disclaimer and ERA logo must be used in all the digital/printed materials related to the initiative. It is strictly prohibited to modify the above-mentioned disclaimer and logo in any way- and the organiser/PI must refer to and comply with the ERA brand guidelines for proper usage. The organiser/PI must send all the drafts in which the above-mentioned logo will appear to the ERA HQ for final approval BEFORE this is printed and/or put online.

5. ERA will also post information related to the initiative in a special section of its website dedicated to ERA Affiliated Endorsed initiatives. For this reason, the organiser/PI is required to provide the ERA HQ with the official image/banner and webpage address of the initiative. In case of any changes to the image of the initiative, updates must be submitted at least two weeks prior to the initiative date. ERA cannot guarantee updates will be made to its website if the revised materials are received later than this deadline.

6. ERA Affiliated Endorsed initiatives are required to adhere to the ERA coordinated image specifically designed for ERA Affiliated Endorsement. This includes the use of approved templates for posters, flyers, social media graphics, the scientific programme layout, and PowerPoint presentations. Templates supplied by ERA HQ must be utilised; they are fully editable and allow the organising committee to insert their own content independently as needed.

All Marketing and Communication materials related to the initiative must use the official templates provided by ERA to the organiser/PI. Failure to comply with this requirement will result in the initiatives being removed from the list of “ERA Affiliated Endorsed” initiatives.

7. ERA will ensure visibility for Affiliated Endorsed initiatives through the following channels: Flash Newsletter (max two issues per year), Working Group Newsletters (subject to approval by the Working Group Board), ERA social media (up to five posts per year), and a dedicated webpage on the ERA website. This webpage will feature the initiative flyer and a link to a dedicated page hosted on the initiative website, where applicable. The organising body shall retain full responsibility for the flyer, website, and all related content for these initiatives.

The following disclaimer “ERA’s affiliated endorsement does not constitute formal oversight or liability. The organising committee is solely responsible for the planning, execution, and compliance of the initiative.” must be included in the promotional materials (initiative webpage, scientific programme) close to the ERA logo along with the “ERA Affiliated Endorsed initiative” statement.

8. Upon request by the organiser/PI, ERA may grant a special additional privilege consisting of the coverage of the Open Access publication fee by ERA for one Consensus Statement per year generated by the initiative (where applicable), for publication in one of the ERA journals, subject to peer review. To benefit from this opportunity, the ERA Headquarters must be informed of the request at least 60 days prior to submission to the ERA journal.

9. In exchange for this special ERA Endorsement, the organiser/PI will agree to advertise the ERA and its activities during the initiatives organised: this can include videos, slide presentations, advertisements in the initiative programme, etc. Photographic evidence of digital advertising is highly recommended.

10. Promotional and industry-sponsored initiatives cannot be organised under the umbrella of the ERA affiliated endorsed initiatives at any time.

11. The recommended requirements for initiatives wishing to receive the ERA Affiliated Endorsement are as follows:

  • the initiative must be independently organised and originating from core ERA Bodies (i.e. Working Groups, Committees, etc.)
  • it is strongly recommended that at least 25% of the speakers/researchers be women
  • it is highly advisable to include young speakers/researchers in the programme
  • with regards to nephrological topics, it is encouraged that speakers/researchers who are ERA members be invited
  • the inclusion of international speakers/researchers is mandatory

Exceptions to these recommended requirements are possible for special cases however, they must be approved by the President and by the Council.
